Acceptance of these terms
By submitting a brief, signing an engagement letter, or making a payment to Curate the Events Company, you accept these terms. If you disagree with any part of them, do not engage our services.
Bespoke engagement agreements with individual clients may override specific terms below; in case of conflict, the signed agreement takes precedence.
Services we provide
We provide the following categories of service, in any combination agreed in writing:
- Corporate event management (conferences, AGMs, launches, offsites)
- Destination corporate event planning (offsites, retreats, international programmes)
- Team building and internal events
- Experiential marketing and brand activations
- Event production (sound, lighting, staging, LED, content playback)
- Social and private events
- Event photography and videography
- Stall design and fabrication
The scope of services for each engagement is captured in a Statement of Work (SOW) agreed in writing before we begin.
Client obligations
- Provide a complete brief within 7 days of engagement signing
- Nominate a single decision-maker for approvals and sign-offs
- Confirm venue access, security clearances, and any necessary licences at least 7 days before event day
- Respect the payment milestones set out in the SOW
- Provide accurate guest counts, travel lists, and dietary requirements within the deadlines agreed
- Notify us of any changes in scope, date, or guest count as soon as they are known
Payment terms
Standard payment structure for a full-scope engagement:
- 50% on signing the SOW, to reserve team capacity and place initial vendor commitments
- 30% mid-engagement (typically 3 to 4 weeks before event day), to cover venue and production bookings
- 20% on or before event day, against the final invoice
All amounts are in Indian Rupees (INR) unless explicitly agreed otherwise. Goods and Services Tax (GST) at the prevailing rate is charged additionally. Payments are made to the bank account listed on our invoice.
Pass-through expenses (venue, travel, hotel, specialised rentals) are invoiced at actuals, with supporting vendor invoices attached, at the end of the engagement.
Cancellation and rescheduling
Because event production commits vendor and crew capacity weeks in advance, cancellations and reschedules follow a tiered schedule:
- More than 60 days before event day: 10% administrative fee on the signed SOW value
- 30 to 60 days before event day: 25% of the SOW value is non-refundable; any pass-through already committed (hotel blocks, venue advances) is client's obligation
- Less than 30 days before event day: 50% of the SOW value is non-refundable; all pass-throughs remain client's obligation
- Less than 7 days before event day: 100% of the SOW value is non-refundable
For rescheduled events, we apply paid amounts towards the new date at no penalty, provided the new date is within 12 months.
Intellectual property
- You own the final deliverables (event run-of-show, photos, videos, aftermovie) produced against your brief and paid for in full
- We retain the right to feature anonymised or named work in our portfolio (case studies, website, social) unless a signed NDA explicitly restricts it
- We own our internal methods, templates, and processes used during the engagement; you own the outputs
- Any third-party licenced content (stock music, images) carries its own licence terms, shared on request
Liability and indemnity
Our total liability for any event or sequence of events arising out of an engagement is capped at the total paid fees for that engagement, excluding pass-through expenses.
- We are not liable for venue-side failures (power outages, access denials, force majeure)
- We are not liable for third-party vendor failures where the vendor was selected by the client despite our recommendation
- We carry standard event liability insurance for our own production crew and equipment; client-side insurance for attendees and client property remains the client's responsibility
Force majeure
Neither party is liable for failure to perform due to events beyond reasonable control: natural disasters, government lockdowns, strikes, war, epidemics, or telecommunication failures. In such cases, we work with you to reschedule within 12 months and account for already-committed pass-throughs.
Governing law and jurisdiction
These terms are governed by the laws of India. Any dispute is subject to the exclusive jurisdiction of the courts at Chennai, Tamil Nadu.
We prefer to resolve disputes informally by direct conversation first, and we commit to engaging in good faith discussion before escalating to formal proceedings.
